How to review a supplement COA for a sourcing decision

Use a certificate of analysis alongside the product specification: check identity, batch traceability, test scope, methods and results before deciding what evidence is still needed.

Procurement planning guidance. Confirm requirements for your product, formulation version and market.

01

Match the document to the product

A COA is meaningful only in the context of the material or finished product it describes. Start with the product name, batch or lot number and the relevant specification revision. Distinguish an ingredient COA from a finished-product COA. A sample report, template or report from another batch should remain labeled as such; it cannot establish the results of the batch you intend to purchase.

02

Review the fields together

  • Issuer, manufacturing or testing site, report identifier, issue date and any revision history.
  • Material or finished-product identity, batch number and traceability to the purchase specification.
  • Each test, its method, acceptance criterion, reported result and unit.
  • Sampling or laboratory details needed to understand what was actually tested.
  • Authorization, exceptions and any separate reports referenced by the document.
03

Read results against an agreed specification

Check whether the units and basis match the specification: per gram, per unit or per serving can mean different things. A statement such as 'pass' is difficult to interpret without the criterion and method. An omitted test does not establish that a requirement was met. Ask why a test is absent, whether another report addresses it and who will assess whether the evidence is adequate for this product.

04

Ask how the evidence is verified

Confirm who performed the testing and how the report can be traced to the laboratory or manufacturer. Clarify the scope of any third-party testing instead of treating a laboratory name as proof that every attribute was tested. FDA's dietary supplement CGMP guidance discusses specifications and verification; the testing and release plan still needs to be established for the actual product and responsible parties.

05

Record the disposition

List accepted evidence, open questions, additional documents requested and the person responsible for the decision. Keep the original report with the specification and related correspondence. NutraGuild's COA review worksheet is a blank review aid, not a COA or a statement that a batch passed. Request genuine batch-specific documents for the relevant project; never substitute altered values or a demonstration report.
