Supplement sampling: from brief to a documented decision
Plan supplement samples around a clear question, an identifiable formula version and written acceptance criteria before moving toward production.

Give each sample a purpose
Decide what the sample needs to demonstrate: flavor, texture, capsule size, powder mixing, fill appearance or packaging fit. A concept sample and a production-representative sample may answer different questions. Ask which materials and process were used and which differences from the proposed commercial version remain. Do not infer finished-batch conformity from appearance or taste alone.
Agree the sample request
- Project name, formula or concept revision, intended market and dosage format.
- The specific attributes to evaluate and who will make the decision.
- Number of sample variants, quantity, packaging and identification for each variant.
- Charges, dispatch assumptions, revision scope and the information needed before work starts.
- Tests or documentation included with the sample and questions reserved for later review.
Record feedback so it can be acted on
Use the sample identifier in every feedback note. Describe the observation, the condition under which it was observed and the requested change. For example, distinguish an objection to flavor intensity from an objection to texture or pack size. Consolidate feedback from your team before requesting a revision so that conflicting instructions do not become an undocumented specification change.
Keep revisions traceable
Maintain a short decision log with the sample code, formula revision, date received, observations and accepted or open items. If a new ingredient source, flavor or packaging component is proposed, record it against the next version. Ask whether the change affects testing, minimum quantities, price or timing. Acceptance should identify the version and characteristics approved, not simply state that all samples are acceptable.
Separate sample acceptance from production release
Before ordering, reconcile the accepted sample with the written product specification, packaging artwork and proposed batch testing plan. Identify the party responsible for reviewing results and releasing the finished batch. Sample timing and the number of revisions depend on the project and need written confirmation. The checklist download can help collect your starting information; it is a planning aid, not a test report.
